Committee Info

The Events Committee is in charge of . . . you guessed it: putting on regular events for our local LGBTQ+ Community throughout the year! The goal is at least one event per month.

We’re hoping to invite a mix of past committee members and some new faces for this year.

Events Committee Members will plan to commit to a 1- or 2-year term (you’ll help put on the next one or two years of events).

Our first year of Community Events has been wildly successful and we can’t wait to see what this Committee does next!

Commitment

Committee members will have a 1- or 2-year commitment.

Having at least *some* members commit to two years helps create momentum and foundational knowledge for new committee members to build on. Not to mention, more opportunities for us to connect & build community. 🙂

Meetings

All committee members will be expected to be present for committee meetings.

As a Committee, you’ll determine your specific meeting schedule. For example, you may choose to meet weekly, bi-weekly, or monthly. You’ll also decide which meetings are in person, and which can be attended via Zoom.

Candidates should have a basic understanding of Google Drive and Zoom, or be willing to learn.

Lead Position Descriptions

Each Committee Member will be asked to serve as Lead or Co-Lead for a specific area. See descriptions below.

  • Chair / Co-Chairs
    Responsible for running meetings, creating or assisting with the Agenda for each meeting, keeping the flow, discerning meeting times that work for majority, delegating tasks, filling in where required. Will present each event to the board for approval and act as liaison between board and committee.
  • Secretary
    Takes meeting minutes and keeps the group organized with action items. May assist with Agenda, and running meetings, keeping track of tasks and progress from month to month as multiple events could having moving parts at the same time. Will keep a working calendar of events for board and committee.
  • Treasurer
    Will work with financial firm/bookkeeper when reimbursements or checks are required, will maintain and approve budget items after final board approval. Help keep the group on track and report budget items.
  • Members (not a lead position)
    If you aren’t interested in a lead position, that’s okay! We need a good number of “regular” members to bring ideas, energy, and the can-do attitude needed to help make these events a success! Members are often tasked with helping set up and tear down for specific events, and generally offer to help when and where they can.

  • Plan to attend the first meeting Monday, February 3rd at 6pm, likely at Loutit Library

Hello!

The Formation Board has been working to solidify our foundation as a nonprofit. While this is happening, we’re curious if our friends (you) are interested in getting some GH Pride events going through the end of the year?

Here’s what we’re thinking:

We’ll get together a short-term Events Committee. The goal will be to put together one event per month, just through the rest of the year.

They don’t have to be big events – think game nights, hikes at local parks, a movie night . . . that sort of thing!
(A Pride Friendsgiving could be cool though…)

So what do you think, sound fun?
We hope so, because we need your help!

The Festival Committee is in charge of . . . you guessed it: putting on our third Pride Festival at the Lynne Sherwood Waterfront Stadium. (Wow!)

We’re hoping to invite a mix of past committee members and some new faces for this year.

Festival Committee Members will plan to commit to a 1- or 2-year term (you’ll put on the next one or two festivals).

Our first two festivals have been met with amazing community support. We can’t wait to see what the 2025 Pride Festival brings!

Commitment

Meetings

All committee members will be expected to be present for committee meetings.

Your meeting schedule will vary based on your role and time of year. In general, you can plan for 1 meeting a month during the “off-season” and up to weekly meetings as the Festival gets closer (starting around April).

We all live multi-layered lives and so missing a meeting here and there is understandable. The Committee will also decide, once it forms, if it will always meet in-person or have a Zoom option.

  • Chair / Co-Chairs
    Provide overall leadership to the committee, create meeting agendas and lead meetings, ensure all leads are on track and supported, ensure all required permits and contracts are acquired, and more. This will be based on the first two years of festivals, so you don’t have to start from scratch. 😉 You’ll also check in with the Board of Directors as needed. 
  • Secretary
    Take notes for meetings, assist with applications and submissions.
  • Treasurer
    Help form the budget for submission to the Board and ensure the finances stay on track.
  • Sponsorships
    Solicit sponsors for year-round programming and the 2025 Pride Festival.
  • Graphic Design & Merchandising
    Design flyers, signage and banners, and be in charge of Pride Festival merchandise. This may include original t-shirt design(s) or sourcing designs elsewhere.
  • Bar & Beverages
    Organize vendors and volunteers for the bar area of the Festival.
  • Entertainment
    Create schedule for entertainment at the Festival, solicit acts and performers, either help organize the day of the festival or recruit volunteer(s) to keep entertainment on track.
  • Food Vendors
    Design food vendor application (based on last year’s app), solicit food vendors, decide on applications, communicate with food vendors, be present during the Festival to ensure food vendor setup runs smoothly.
  • Kid’s Activities
    Plan the kids activities to be offered, coordinates how many and where volunteers are needed, assist with set up and take down of Kids Section, oversee the Kids Section day of the event.
  • Market Lead(s)
    Design market application (based on last year’s app), solicit market vendors, decide on applications, communicate with market vendors, be present during the Festival to ensure market setup and conclusion runs smoothly. (Note, you can use a volunteer to help close out the market if you would prefer not to need to be present for both open and close).
  • MSLG (Make Sh*t Look Good)
    Be the person in charge of banners, tables, decorations, just basically ensuring we have a fabulous looking festival.
  • Volunteer Coordinators
    Determine volunteer needs from other Committee leads, create volunteer sign-up mechanism, coordinate volunteers in advance and at the event, arrange for volunteer thank you event afterwards.

  • October 14-18 – Meet in person with Formation Committee for a 15-minute chat
  • Plan to hear if your application was accepted by October 24
